Access Control Systems Kenya: Comparing Supplier Proposals

Compare access control proposals in Kenya using a common door schedule, licence scope, support terms and practical acceptance criteria.

When comparing access control systems in Kenya, the most useful starting point is a common project brief. Without one, suppliers may price different doors, credentials, software features and support commitments. The lowest total may simply represent a smaller scope.

This guide focuses on procurement: how to request comparable proposals and select an implementation that your team can operate after installation.

Give every supplier the same requirements

Prepare a door schedule with the location, door type, user groups and operating hours for each opening. State which items already exist and which must be supplied. Include visitor handling, temporary access and any requirement for central oversight.

For several branches, list the conditions at each site. Connectivity, power arrangements and local support access may differ. Avoid treating the first branch survey as proof that every other location needs identical equipment.

Separate mandatory needs from options

Mandatory requirements might include staff-only entry at specified doors, administrator training and usable event reports. Optional features might include a particular visitor workflow or an interface to another platform. Mark these clearly so suppliers can price the same baseline.

If an integration is essential, name the other system and version. Ask the supplier to explain the supported connection, necessary licences, configuration work and test plan. A statement that a product is integratable is not the same as a priced, verified interface.

Compare the complete cost

Ask for separate lines covering equipment, door hardware, power, cabling, installation, configuration, licences and training. Confirm taxes, delivery, travel, recurring charges and any excluded work. This exposes differences that a single total hides.

For hosted software, clarify the charging basis and what happens if a subscription is not renewed. For local software, identify the computer or server responsibility, backups and update arrangements. The appropriate model depends on your operational needs.

Assess service after installation

Ask who handles a fault, how support is requested and what attendance or response commitments are actually included. Distinguish remote diagnosis from a physical site visit. Discuss how door hardware faults are handled alongside reader or software problems.

Confirm who owns administrator access and configuration records at handover. Your business should know how an authorised replacement administrator is appointed and how records can be retrieved using supported tools.

Use an evidence-based selection process

Score proposals against the same checklist: fit to requirements, completeness of scope, usability, support and total cost. Request a demonstration of your important workflows rather than a generic product presentation.

For a larger rollout, consider a pilot at a representative site before approving every branch. Define what will count as success, who will review the findings and which changes may affect the final quotation. A pilot is especially useful where existing networks or door conditions are uncertain.

Make acceptance part of the contract scope

Agree tests for authorised and denied access, schedules, user removal, reports and relevant interruption scenarios. Document the safe exit and release design with the responsible installer. Specify the training and records required at completion.

ZES can assess the requirements and prepare a scoped proposal. Share the site list, door schedule and decision priorities so the quotation addresses your actual operations rather than a generic equipment package.
